Responsibilities

Job purpose:

· Work on all administrative aspects of the administrative office of the Secondary school.

Main accountabilities:
· Provide students direction and support
· Be approachable and available to support students in need through a caring personality
· Participate in the admission of students if necessary (creation and updating of student data).
· Acting directly with students, parents and teachers to prevent incidents and check anomalies (e.g. emergency cards data missing).
· Create electronic files for all new students and keep them updated, adding academic reports and other additional reports
· Prepare reports and transcripts for parents
· Work on timetabling

Ensure up to date and functional technology

Organise the systems and maintain an accurate and up-to-date database.
· Maintain the replacement list of teachers in the database.
· Update our databases and systems
· Publish and update school calendars, internally and externally

Manage communications and building relationships

· Support with organisation of school events: parent teacher conferences, graduation ceremonies, pedagogical days etc

Support the organisational structure

· Duties may include a variety of administrative tasks, word processing, creating spreadsheets, reports and presentations
· May assist with overflow work from school office manager
· Handle correspondence (letters, emails, etc.) of the school.
· Support with students admissions files
· Participate in the preparation of documents, texts for publication in the various newsletters and emails.
· Carry out translations for the department.
· Ensure the booking and logistics of the room as required (including setting up, ordering refreshments, etc.)
· Order equipment for the department and track orders
· Assist the Guidance Counselling Team with transcripts
